How does it work?
Paper documents are scanned into the document management database using a multifunctional device or a separate scanner. Modern multifunctional devices integrate with the system and add icons to the display to allow quick one touch scanning and storage.
Documents that are already in an electronic format are easily added too. Many popular software suites, such as Microsoft Office, integrate fully with the system allowing documents to be added at the touch of a button.
Information contained in the document, such as a customer name or a reference number, can be used to index and categorise the document for searching and retrieval. This data can be automatically recognised and extracted or can be added manually at the time of scanning or queued for later processing. If required, all the data on an electronic or hand written document can be indexed using optical character recognition (OCR) technology.
Once scanned, the document and index data are added to the database. A desktop application is used to search and retrieve the document for viewing, manipulation and distribution.
